If you've never shipped a vehicle before, the process can feel uncertain. What time does the driver show up? What paperwork do you sign? What if the car looks different at delivery? Here's exactly what happens, start to finish.
Booking to Pickup: The Timeline
After you book with Freedom Auto Transport:
- Days 1–2:** We match your vehicle to an available, vetted carrier for your route
- 24–48 hours before pickup:** Your assigned driver calls or texts to confirm the exact pickup time
- Pickup day:** Driver arrives, inspects, loads, and you both sign the Bill of Lading
We recommend booking 2–3 weeks before your desired pickup window. On popular routes, we can often move faster. On less-traveled routes, lead time matters more.
What Happens at Pickup
The driver arrives within your scheduled window. Most pickups are scheduled in 1–3 hour windows. The driver will call or text when they're 30–60 minutes out.
The condition inspection. Before loading, the driver documents your vehicle's condition on a form called the Bill of Lading. Every existing scratch, dent, chip, and scuff gets noted. This protects both of you.
Walk around the car with the driver during this inspection. Point out anything you noticed when you prepped the vehicle. Make sure the report reflects the actual condition — not a summary or approximation.
Signing the Bill of Lading. Both you and the driver sign the Bill of Lading. You get a copy. Keep it.
Loading. The driver loads your vehicle onto the carrier. This takes a few minutes. Once loaded, you're done at pickup.
During Transit
Your vehicle is moving — what do you know about where it is?
Freedom Auto Transport provides real-time tracking while your vehicle is in transit. You'll receive tracking information when your vehicle is loaded. You can also contact your assigned coordinator at any point for a status update.
Transit times by distance:
| Distance | Typical Transit Time |
| Under 500 miles | 1–3 days |
| 500 – 1,000 miles | 2–4 days |
| 1,000 – 1,500 miles | 3–5 days |
| 1,500 – 2,500 miles | 5–8 days |
| Cross-country (2,500+ miles) | 7–10 days |
These are estimates based on typical carrier routing. Weather, traffic, and carrier schedules can affect timing.
What Happens at Delivery
The driver calls ahead. You'll get advance notice — typically 24 hours or more — before your delivery window.
Be present, or arrange someone who can be. Just like pickup, someone needs to be at the delivery location to inspect the vehicle and sign the delivery condition report.
The delivery inspection. This is the most important moment of the entire process. Inspect your vehicle carefully before signing anything.
Walk around the entire vehicle in good light. Check:
- All four body panels
- Front and rear bumpers
- Roof
- All glass
- Undercarriage if possible
Compare what you see against your Bill of Lading. Compare against your own pickup photos.
If everything looks good: Sign the delivery condition report and you're done.
If you see something new: Note it specifically on the delivery report before signing. Don't sign a clean report and then try to file a claim — you need the delivery documentation to support a claim.
What If There's Damage?
Vehicle transport claims are rare, but they happen. Here's the right process:
1. Document everything at delivery before signing — photos, written notes on the condition report
2. Contact your Freedom Auto Transport coordinator the same day
3. We'll initiate the claims process with the carrier's insurance
4. Your personal auto insurance may also have provisions for shipping damage — check your policy
The key: do not sign a clean delivery report if you're concerned about damage. Notes on the delivery condition report are your primary documentation for any claim.
